Job Specification for Office co-ordinator/administrator
We are currently looking to recruit an office co-ordinator/administrator. The position will cover both our Henley and Marlow offices. The successful candidate will be self-motivated, work well under pressure and able to organise the daily workload without supervision. The role will involve a considerable amount of typing; speed and accuracy are therefore essential.
Office hours are 07.45 to 5.00pm Monday to Friday with an hour for lunch. You will be expected to share emergency phone duties once every 4 weeks.
In summary, the job will involve:
- Taking all incoming calls, logging details on call sheets and the database and ensuring all calls have been dealt with.
- Running the engineers schedules using our T-card system. Ensuring that the engineers are at their first job by 8.00am and checking their progress throughout the day.
- Acting immediately on job sheets returned to the office by engineers, ie update the database with job status and notes, ordering materials, liasing with customers on progress and arranging further quotes as required.
- Resolving customer queries by phone and e mail.
- Invoicing out completed jobs and monitoring the database work in progress report to ensure that no billing is missed.
- Collecting the engineers timesheets daily and entering them on the database.
- Entering suppliers invoices onto the database.
- Typing letters and quotes as requested by the Director.
- General office management including filing and monitoring office supplies of stationery, stamps, engineer uniforms etc.
- Organising the servicing and maintenance of our fleet of vehicles.
When we interview, we use the following checklist to assess candidates, with a "pass" on attributes one to five as a minimum standard:
- Working hours are strictly 7.45am to 5pm.
- Self motivated and enthusiastic.
- Track record of commitment with previous employment.
- Good typing skills (Word), good grammatical skills and database experience.
- Experience of job management through to invoicing.
- Good telephone manner and experience of customer contact.
- Experience of dealing with service engineers.
- Marketing experience.
- Background of working in the building or related trades.
